Independent Study Away (Fall/Winter)

Eligibility

At the time of application and the start of your study away term you must:

  • Have a minimum CGPA of 2.7
  • Be currently registered as a full-time student in a McGill BA, BSW or B.Th. degree. (See course load)
  • Have a minimum of 24 graded McGill credits prior to the start of your study away

Application Periods & Deadlines

FALL TERM ONLY February 1 to July 15
FALL & WINTER TERMS February 1 to July 15
WINTER TERM ONLY September 15 to November 15

Before beginning an application, you should carefully review the Plan & Prepare information to help you plan your study abroad experience.

Application Procedures & Policies

Step 1: Minerva Study Away Application

Please note the following:

  1. If you do not submit all the required information by the deadline you have been given, your application WILL BE CANCELLED.  
  2. If you wish to take an Online Education course, you must follow the instructions here.
  3. If you have a “HOLD” on your Minerva record, this may prevent the processing of your study away application. Contact Student Accounts (514-398-3900) or Service Point (514-398-7878) immediately to resolve any outstanding HOLDS.
  4. Check your McGill email account regularly for important notices as this is our official means of communication during the application process and during your term away.

INSTRUCTIONS

  1. Verify that the University you wish to attend is listed on our lists of approved host institutions grouped by continent before proceeding with your study away application.
  2. To begin a study away application, you must go to the Minerva Study Away Request Form. To access the request form, log on to Minerva and navigate to: Student Menu > Student Records Menu > Exchange/Study Away Menu > Request for Study Away. For instructions, select the word “HELP” in the upper right hand corner of the Minerva screen.
  3. Submit a brief statement of purpose indicating your reasons for applying to study away. This text area allows 4000 characters (about one page single spaced). We recommend that the statement of purpose be written before hand in a separate text editor (e.g. MS Word) to avoid being timed out and potentially losing work. If you are applying to multiple institutions you will need to submit a separate statement of purpose for each institution.
  4. Submit your completed PDF icon Degree Planning Worksheet for Study Away to Arts OASIS concurrently with the submission of your Minerva Study Away application.
  • By email attachment: to studyaway.arts [at] mcgill.ca in the following "Subject" format: Degree Planning Worksheet [Family Name/First Name] [Student ID number]

Your Minerva Study Away application will be evaluated only once your application is complete. Once your application is complete:

  • The processing time will normally take 5 to 10 working days.
  • Your application will be granted a status of 'Approved' or 'Not Approved' in the 'Faculty Application Status' field of your Minerva Study Away application.
  • Your record will be updated to non-resident status for the equivalent McGill term(s) you will be away. This means that if you are already enrolled for courses at McGill during your study away term(s), these courses will be dropped. Your McGill transcript will indicate "Term Away" and you will not be able to register for McGill courses in that term.
  • A Letter of Permission can be downloaded from your approved Minerva Study Away application. This letter grants you McGill authorization to take courses at the specified host university during the specified term as a Visiting student for the purpose of transferring course equivalences and credits toward your McGill degree.  This letter may be required by the Host University’s Registrar's Office, Enrolment Services or International Study Abroad Office.
  • If you submitted more than one study away application, you must cancel all “Faculty Approved” applications to the schools you are not attending via this cancellation form. Consult the cancellation information here for deadline dates.

NOTE: Please be advised that Arts OASIS does not fax Letters of Permission (LOP) to the host university. It is the responsibility of each student to submit their Letter of Permission directly to the host university.

Step 2: Minerva Transfer Credit Assessment Form

The Minerva Transfer Credit Assessment Form must be completed by all McGill students completing courses at another university. This form will be used to evaluate the courses you are taking at the host school for McGill course equivalencies, course approval and transfer credit. Once your study away application has been granted the status of 'Approved', you can begin the course equivalence process by consulting the McGill Course Equivalency Database. Refer to “Minerva Transfer Credit Assessment Form Instructions and Deadlines” on our Transfer Credit Policy for complete details on the process.

Once you register for courses at the host university, the Minerva Transfer Credit Assessment Form must accurately reflect the courses you are registered for at the host university.

Remember to keep all course materials (exam questions, graded work, methods of evaluation, reading lists, etc.) since McGill advisers may require this additional information.

Step 3: Transferring Credit

Transfer credit for courses approved on the Minerva Transfer Credit Assessment Form will only be processed once McGill receives an official transcript of completed studies (including course numbers and individual final grades) directly from the host school to McGill’s Enrolment Services immediately upon completion of studies.

Refer to “Transcript from host school” on our Transfer Credit Policy for important information on final official transcripts and deadline dates. 

Step 4: Pre-departure Information Session & Minerva Travel Registry

If approved for a Study Away term outside Canada you are required to attend a mandatory Pre-Departure Orientation session.

If approved for a Study Away term outside Canada you are required to fill out the Minerva Travel Registry Form. You will have access to the Minerva Registry Form once your McGill record indicates “Term Away” for the specified term(s).

Independent Study Away (Summer)

Eligibility

At the time of application and at the start of your study away term you must:

  • Have a minimum CGPA of 2.00
  • Be registered in a McGill BA, BSW or B.Th. degree.
  • Have a minimum of 12 graded McGill credits prior to the start of your study away
  • Register for 12 or less total credits during the Summer term; this credit total includes resident McGill credits and credits taken at another host university during the Summer term. (See course load).

IMPORTANT: Your courses must be evaluated for McGill equivalency and receive approval on the Minerva Transfer Credit Assessment Form concurrently with the submission of your Minerva Study Away application.
