Office Assistant C – Dental Office Receptionist

Duties and Responsibilities:

  • Receives, screens, directs and makes high volume of telephone calls; takes and relays messages. Arranges appointments and contacts patients regarding time, place and general purpose of the appointment
  • Work closely with Labs to ensure deliveries are made promptly before the patient’s next appointment
  • Performs data entry to update patient record computerized information systems. Produces lists and reports using appropriate software
  • Opens new files as required
  • Issues invoices, collects payment
  • Manages the payments and patients’ records for 40 dental students and their patients

Other Qualifying Skills and Abilities:

Fluent in English and French (spoken and written). Good knowledge of Microsoft Office. Knowledge of ABELdent software is a valuable asset. Knowledge of dental procedures and scheduling appointments an asset. Excellent customer service skills and professionalism. Ability to effectively manage and prioritize time and tasks. Strong communication skills and the ability to work independently and in a team environment.

Additional Information:

This position is an on-call Dental Receptionist. The incumbent will be asked to work in the absence of other receptionists.

Student & Staff Dental Clinic: You will be managing 4 dental chairs daily (2 dentists, 2 hygienists). There is a high volume of phone calls and emails. The ability to complete tasks in a timely manner is expected and required. Filling the dentists’ schedules for the following day and maintaining patient records are also additional tasks. The incumbent will work closely with Labs to ensure deliveries are made promptly before the patient’s next appointment.

Undergraduate Teaching Clinic: Incumbent will be managing the payments and patients’ records for 40 dental students and their patients. There is a high volume of phone calls/voicemails and will require prompt replies. Other miscellaneous administrative tasks will be required.
