Position Title: 
Patient Services Coordinator (PED 00070, DD008B, Level 008B)
Position Summary: 
Under the direction of the immediate supervisor, plans the assignment of patients. Maintains and updates student and patient file databases. Verifies files for completion and accuracy. Compiles data and produces reports. Provides information and liaises with external organizations. Organizes student rotations.
Major Duties & Responsibilities: 
  • Plans the assignment of patients. Anticipates future needs. Liaises with external organizations. Provides information regarding the unit’s services and responds to complaints.
  • Reviews patient files. Prepares and codes patient records.
  • Updates patient and student file databases. Verifies files for completion and accuracy (such as treatment given, payment of fees, follow-up of treatment). Communicates with students concerning irregularities.
  • Maintains and analyses various qualitative and quantitative data, compiles statistics and produces required reports.
  • Compiles and sorts student case requirements. Matches student case requirements with needs of patients according to various criteria such as the complexity of the case, student ability, waiting period and urgency.
  • Occasionally performs secretarial duties such as typing routine documents or taking telephone messages.

Education & Experience: 

DEP (Secretarial/Office Systems).

Three (3) years related experience

Other Qualifying Skills And/Or Abilities: 
Must be customer focused and service oriented, assisting all clients with tact and diplomacy while maintaining a professional manner and appearance at all times. Demonstrated ability to clearly receive, retain and transmit information with a proven ability to communicate clearly and effectively at all levels. Proven ability to work autonomously and as a member of a team. Demonstrated ability to take initiative, problem-solve and organize work within area of responsibility. Strong organizational skills with ability to multi-task, prioritize and work under pressure to meet multiple deadlines. Proven discretion in dealing with confidential information. Demonstrated ease with technological applications with a proven ability to work in a PC environment using MS Word, Excel and Outlook. English, spoken and written. French, spoken and read.
