New Work Study System

Dear Work Study Employer,

The Scholarships and Student Aid Office is launching a new Work Study Subsidy Management system. Go-live is planned for August 2020 in tandem with the new Human Resources system Work Day. The new Work Study system will improve services to participating students and employers of the Work Study Program. The Scholarships and Student Aid project team is working closely with McGill’s central IT teams on the design of the new system; reviewing and improving the current processes which includes providing employers with a dashboard for requesting and monitoring subsidy hour usage. Updates will continue to be posted on the Work Study Project Website.

While every effort will be made to make this transition as smooth as possible, there will be changes due to the central HR shift from POPS (Payroll One Time Payment System) to Work Day for casual employee payroll. Based on information that has been provided to us by the Work Day (R2R) implementation team, as of Monday, July 27 there will be no more entries/changes permitted in the POPS application. To ensure you have received all of your applicable subsidies for the 2019-20 academic year, we ask that you verify your financial records and resolve any errors or omissions before July 27 so they are captured in our final reimbursement process. After this date, no adjustments can be made in POPS and as a result NO further subsidy reimbursements for the 2019-20 academic year will be transmitted based on POPS entries. Please forward this email to your HR and FIS people who handle the payroll and finance end of the Work Study processes.
