Awarding Exceptions for Students with Disabilities

Under the University’s Policies on Student Rights and Responsibilities, is the Policy Concerning the Rights of Students with Disabilities which stipulates:

Students with disabilities who carry a reduced course load because of a disability are eligible to be considered for scholarships and fellowships available to full-time students, on the basis of equivalent academic standing. All potentially eligible students will be identified by the Student Accessibility & Achievement office.

Scholarships and other Award Selection Committees and/or Student Award Processors are encouraged to use this overview and the following steps to make this process efficient, equitable and confidential:

Student Accessibility & Achievement works with students who require academic accommodation on the basis of a documented disability. Student Accessibility & Achievement determines on the basis of medical documentation whether a student can be ‘deemed full-time’ with a reduced course load. When students sign their individualized Accommodation Plan, they also authorize Student Accessibility & Achievement to disclose their registration status to the Scholarships & Student Aid Office, their Faculty, and/or other relevant individuals, for the purposes of awards and scholarships only.

As such, Faculties and Units who are adjudicating scholarships/awards on the basis of a grade threshold, must include part-time students carrying at least 6 credits per semester which is defined by the Quebec Ministry of Education as the minimum course load required to be deemed full-time due to disability. To validate if a part-time student is eligible for scholarship/award consideration:

  1. Email Student Accessibility & Achievement at access.achieve [at] mcgill.ca with the Name and McGill ID of the student(s) and the term(s) you require verification. Student Accessibility & Achievement will return a response within five (5) business days on a term by term basis. This information can only be used for the purpose it was originally requested and must be destroyed when the purposes for which it was collected or used are fulfilled.
  2. When submitting the student award using the Minerva Award Processing Form, use the Comments field to indicate why an exception is granted for a student less than 12 credits per semester when related to Student Accessibility & Achievement-verified disability “OK part-time (# credits / term) DA confirmed”. DA is abbreviation for disability accommodation to keep notes as confidential as possible.
