Payment and Stipend Codes

 

 

This page lists payment and stipend codes. Academic and librarian staff members must hold tenure-stream appointments or be full-time Ranked Contract Academic Staff to have position codes applied to their record.

  • Used in conjunction with a tenure-track or tenured appointment.

  • Consult the Academic Personnel Office for guidance on procedures related to a CERC appointment

CRC Tier 1

AFU995

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • The default is zero salary, using the CRC's main fund code. Any approved CRC stipend must also be paid via this code.
  • Minerva Appointment Form will be approved only upon receipt of the CRC T1 awarding memo issued by the Office of the Provost and Executive Vice-President (Academic) (OPVPA), and stipend only upon approval of the OPVPA.

CRC Tier 2

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • The default is zero salary, using the CRC's main fund code. Any approved CRC stipend must also be paid via this code.
  • Minerva Appointment Form will be approved only upon receipt of the CRC T2 awarding memo issued by the OPVPA, and stipend only upon approval of the OPVPA.

Distinguished James McGill Professor

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • The DJMP stipend is paid via this code and must use the “James McGill/Dawson Professors” Fund.
  • Minerva Appointment Form approved only upon receipt of the DJMP awarding letter issued by the Provost and Executive Vice-President (Academic).

James McGill Professor

  • Normally used in conjunction with a tenure-track or tenured appointment
  • The JMP stipend is paid via this code and must use “James McGill/Dawson Professors” Fund.
  • Minerva Appointment Form approved only upon receipt of the JMP awarding letter issued by the Provost and Executive Vice-President (Academic).

William Dawson Scholar

AFU998

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • The WDS stipend is paid via this code and must use “James McGill/Dawson Professors” Fund.
  • Minerva Appointment Form approved only upon receipt of the WDS awarding letter issued by the Provost and Executive Vice-President (Academic).

Chair (Honorary)

AFN992

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • This code is used to record the appointment of an Endowed Chair, which does not carry any endowment.
  • The appointment length is five or seven years.
  • This position is zero salary. The Endowed Chair's spend fund code, created for record-keeping purposes only, must be used.
  • Minerva Appointment Form approved only upon receipt of the Endowed Chair awarding letter issued by the Provost and Executive Vice-President (Academic).

Endowed Chair

AFU996

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • This code is used to record the appointment of a regular University-based Endowed Chair.
  • The appointment length is five or seven years.
  • The default is zero salary, using the Endowed Chair's spend fund code. Any stipend must also be paid via this code and must use the Endowed Chair's spend fund.
  • Minerva Appointment Form approved only upon receipt of the Endowed/Named Chair awarding letter issued by the Provost and Executive Vice-President (Academic).

Endowed Chair (Hospital-based)

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • The appointment length is five or seven years.
  • The default is zero salary, using the Endowed Chair's spend fund code. Any stipend must also be paid via this code and must use the Endowed Chair's spend fund.
  • Minerva Appointment Form approved only upon receipt of the Endowed Chair awarding letter issued by the Provost and Executive Vice-President (Academic).

Endowed Professorship

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • The appointment length is five or seven years.
  • The default is zero salary, using the Endowed Professorship's spend fund code. Any stipend is also to be paid via this code and must use the Endowed Professorship's spend fund.
  • Minerva Appointment Form approved only upon receipt of the Endowed Professorship awarding letter issued by the Provost and Executive Vice-President (Academic).

Direct-Funded Chair

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • Direct-Funded Chairs have defined-term funding.
  • The appointment length is five or seven years.
  • The default is zero salary, using the Direct-Funded Chair's spend fund code. Any stipend must also be paid via this code and must use the Direct-Funded Chair's spend fund.
  • Minerva Appointment Form approved only upon receipt of the Direct-Funded Chair awarding letter issued by the Provost and Executive Vice-President (Academic).

Direct-Funded Professor

  • Normally used in conjunction with a tenure-track or tenured appointment.
  • Direct-Funded Professorships have defined-term funding. • The appointment length is five or seven years.
  • The default is zero salary, using the Direct-Funded Professorship's spend fund code. Any stipend must also be paid via this code and must use the Direct-Funded Professorship's spend fund.
  • Minerva Appointment Form approved only upon receipt of the Direct-Funded Professorship awarding letter issued by the Provost and Executive Vice-President (Academic).

AK Stipend

 


(for AK#### appointments)

AFU982

  • Must be used in conjunction with a campus-based ranked CAS appointment (AK####).
  • For the taking on of teaching or other duties for a short period of time. For any amount over $25,000, approval of the Academic Personnel Office must be obtained.
  • May also be used for external salary awards, regardless of amount.

AW Stipend

 

(for AW#### appointments)

AFU986

  • Must be used in conjunction with a ranked CAS Clinical teaching-hospital-based appointment (AW####).
  • Stipends cannot exceed $40,000/annum, any excess will be paid using the AW Other Payment code.
  • This stipend code is to be used for payments that are meant to be pensionable and benefitable (minimum threshold $25,000/annum with a maximum amount of $40,000/annum).
  • AW Other Payment is used for payments that are below $25,000/annum or the overflow of payments over $40,000
  • May also be used for external salary awards, regardless of amount.

AU Stipend

 

(for AUN#### and AU#### appointments)

AFU985

  • Must be used in conjunction with a CAS Clinical affiliated-institution-based appointment (AUN### or AU####).
  • Stipends cannot exceed $40,000/annum, any excess will be paid using the AU Other Payment code.
  • This stipend code is to be used for payments that are meant to be pensionable and benefitable (minimum threshold $25,000/annum with a maximum amount of $40,000/annum).
  • AU Other Payment is used for payments that are below $25,000/annum or the overflow of payments over $40,000
  • May also be used for external salary awards, regardless of amount.

Hospital Administration

ATU998

  • Normally used in conjunction with a CAS Clinical teaching-hospital-based appointment (AW####).
  • Maximum amount on this stipend code is $40,000/annum. Payment must be via a hospital 8-Fund.
  • Cannot normally be used in conjunction with ATU999 where the combined total exceeds $40,000/annum. To do so, a justification memo from the Dean and the approval of the Associate Provost (Equity & Academic Policies).

Hospital Appointment

ATU999

  • Normally used in conjunction with a CAS Clinical teaching-hospital-based appointment (AW####).
  • Maximum amount on this stipend code is $40,000/annum. Payment must be via a hospital 8-Fund.
  • Cannot normally be used in conjunction with ATU998 where the combined total exceeds $40,000/annum. To do so, a justification memo from the Dean and the approval of the Associate Provost (Equity & Academic Policies).

Other Academic Stipend

AFU997

  • Must be used in conjunction with a ranked academic appointment.
  • Time-limited salary award in recognition of outstanding performance of academic duties, usually linked to research.
  • Must obtain approval of the Academic Personnel Office.

AFU983

  • Must be used in conjunction with a CAS Clinical affiliated-institution-based appointment (AUN### or AU####).
  • May also be used for external salary awards, regardless of amount. Please indicate in Minerva Appointment Form why this payment code is being used rather than a stipend code.

Supplemental Teaching Payment

AFU990

  • Applies to tenure-track & tenured academic staff, or ranked CAS and Visiting academic/librarian staff on salaried positions, whose normal duties include teaching.

Temporary Payment

AFU993

  • Temporary salary increases resulting from secondments to outside institutions
  • Temporary salary payments (i.e., payments over and above the individual’s regular McGill salary) resulting from salary awards obtained from outside agencies (excluding CRC stipends)
  • Must obtain approval of the Academic Personnel Office.
