eRAP is an online system that has been implemented for the electronic submission and review of human research ethics proposals. The eRAP human participant module is based on software provided by InfoED Global that is used to support electronic research administration processes in various areas of research administration. Researchers have online access to all submissions and documentation in one location. Researchers are able to track the current status of new submissions as well as keep track of study approval dates.

Who can use the system?

All faculty and students (graduate, postdoctoral) that have a McGill username and password can use the system. Most faculty, graduate students and postdocs from areas that frequently submit ethics applications, have been registered in the system. If you cannot log in, please contact erapsupport [at] mcgill.ca

Faculty can designate students or staff of their research team to work on the submission. Staff are not automatically loaded in the system. The faculty PI may have to contact eRAP support requesting system access.

When do I use eRAP?

All new studies, amendments, continuing reviews (renewals), termination reports, and reportable new information reports (unanticipated issues /protocol deviations) must all be submitted using eRAP.

A note about creating an Amendment -There will be 2 options for amendments called Amendment and Amendment- Legacy. If your original ethics application was done using the Word form, and not using the new eRAP submission system, you MUST use the Amendment - Legacy form.

Exceptions to submitting new study applications through eRAP: McGill researchers who are co-researchers on a study already approved at another institution - contact the REB. External researchers do not apply through eRAP - contact the REB.

Frequently Asked Questions

When do I have to start using eRAP?

You can start using eRAP now for all categories of submissions and you are encouraged to do so. The REB will continue to accept the Word forms submitted by email until April 1, 2022. As of April 1, 2022, all submissions must be done using the eRAP system.

There are 2 options for creating an Amendment - Amendment and Amendment - Legacy. Which one do I select?

If your original ethics application was done using the Word form, and not using the new eRAP application, you MUST use the Amendment - Legacy form.

I submitted my ethics application prior to eRAP. Why do I see an empty eRAP application? How do I find my current documents?

When searching your records for existing studies that you did not complete using the eRAP application, you might click on Initial Submission and see an empty eRAP application. This is normal (it was needed to create the record) and you can ignore. The original application and other documents can be found by clicking on Master Record and the documents will be under the Attachments tab.

Why can’t I log into eRAP?

To use eRAP you have to be registered in the system. Most faculty and graduate students and postdocs from areas that frequently submit ethics applications, have been entered. Staff are not loaded in the system. If you cannot log in, please contact erapsupport [at] mcgill.ca.

Why can’t I find a protocol?

You can access a record only if you are the PI or if you were given edit access. As the PI, you can use the Quick Find box in the upper right hand corner and enter the study title, record number or last name. If listed on the application as having edit access, you can search using Locate Records searching on different criteria such as title, record number, investigator or PI.

How do I add someone to have edit access?

Please contact erapsupport [at] mcgill.ca. Note that for student PIs, only the student and their supervisor can have edit access.

How can I find a protocol that was started but not yet submitted to the REB?

You can use the Quick Find box in the upper right hand corner and enter the study title, record number or last name, if you are the PI. You can also use Locate My Records and all records with you as the PI will be listed (for faculty this will include grant records as well as human ethics records). You can also use Locate Records which will allow a search on different criteria. This is a good option for those with a large amount of records. Locate Records has to be used if you are looking for a record where you are not the PI but where the PI has listed you on the application with edit access.

Why can’t I create a new amendment?

You will not be able to create a new amendment if you have already submitted an amendment to the REB that has not yet been approved.

How can I share the application with others who can’t access the record in eRAP?

You can go in the record and download the file. Hover over the record number, select Master Record, then select the Attachments tab and the list of submissions will appear.

How to enable pop-ups in Firefox or Chrome?

Mozilla Firefox:

When blocking a pop-up, Firefox displays an information bar (if it hasn’t been previously dismissed – see below), as well as an icon a specific pop-up icon in the address bar.

When you click either the Options button in the info bar or the icon in the address bar, a menu is displayed with the following choices:

  • Allow/Block pop-ups for this site
  • Edit Pop-up Blocker Options...
  • Don't show this message when pop-ups are blocked
  • (show the blocked pop-up)

Google Chrome:

By default, Google Chrome blocks pop-ups from automatically showing up on your screen. When a pop-up is blocked, the address bar will be marked Pop-up blocked Pop-up blocked. You can also decide to allow pop-ups.

  • In the address bar, click Pop-up blocked Pop-up blocked.
  • Click the link for the pop-up you want to see.
  • To always see pop-ups for the site, select Always allow pop-ups and redirects from [site] and then Done.

How to clear Firefox or Chrome internal cache?

Mozilla Firefox:

  1. Click the menu button and select Settings.
  2. Select Privacy and Security Panel.
  3. In the Cookies and Site Data section, click Clear Data.
  4. Remove the check mark in front of Cookies and Site Data.
  5. With Cached Web Content check marked, click the Clear button.
  6. Close the about:preferences page. Any changes you've made will automatically be saved.

Google Chrome:

  1. On your computer, open Chrome.
  2. At the top right, click More.
  3. Click More tools > Clear browsing data.
  4. At the top, choose a time range. To delete everything, select All time.
  5. Next to "Cookies and other site data" and "Cached images and files," check the boxes.
  6. Click Clear data.
